Start with the approved requirement
Use the bill of quantities, drawing schedule or item list approved for the work. Avoid replacing technical descriptions with broad names.
State quantity and unit
Write the number and unit clearly for every line. Bags, lengths, sheets, square metres and pieces are not interchangeable.
Describe the site
Provide the location, access conditions, offloading arrangement and safe storage available on arrival.
Set a realistic delivery sequence
State when each material is needed rather than asking for everything immediately. The sequence should follow the work programme and available storage.

Common questions
- Can a supplier quote from a photograph alone?
- A photograph can clarify appearance, but construction materials normally require written specifications, quantities and units.
